Introduction

This Privacy Policy explains how University Rifle Club Inc (“URC,” “we,” “us,” or “our”) collects, uses, and protects the personal information of our members, applicants, guests, and website visitors.

Information We Collect

Information you give us when you apply, renew, reserve an orientation spot, sign up for an event, or contact us:

• name, mailing address, email address, and phone numbers
• date of birth and member number
• names and dates of birth of the Associate and Junior members on your account
• your signature on the membership form and waiver
• your payment choice, any discount you claim, and any donation
• documents you upload with your application, if any
• firearm-related certifications you choose to give us

Payment information. When you pay by card, you enter your card details on a secure payment page. They are processed by Stripe. URC does not receive or store your full card number. We see only the payment amount, date, status, and the last four digits and brand of the card.

Information collected automatically when you visit our website, such as browser type, operating system, IP address, and the pages you visit. We use it to keep the site working and improve it.

How We Use Information

We use your information to:

• process applications, run background checks, and manage memberships and renewals
• send invoices and process payments
• schedule and confirm orientation, range, and event participation
• send renewal reminders, receipts, and club notices
• meet safety, insurance, and legal requirements
• keep accurate membership records

We do not sell, rent, or share your personal information with third parties for their marketing.

Who We Share It With

We share information only with service providers that help us run the club, and only for that purpose:

• Stripe processes card payments. See Stripe’s privacy policy at stripe.com/privacy.
• Our website and membership-management platform hosts our website, forms, membership records, and invoices.
• Our email service delivers club emails.
• Our file storage provider holds the membership reports the club’s officers use.
• Our background-check provider for new-member applications.

These providers must keep your information confidential and secure. We may also disclose information if the law requires it, or to protect the rights, property, or safety of URC, our members, or others.

SMS and Email Communications

By providing your phone number or email address, you consent to receive text messages and emails from URC for purposes such as account notifications, event reminders, customer support, and occasional promotions or club announcements, including training session updates, safety notifications, and membership opportunities. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. Essential operational and safety communications will still be sent to active members. Mobile opt-in data and consent information are never shared with third parties for marketing purposes.

Cookies and Analytics

Our website may use cookies and analytics tools to remember preferences, understand how the site is used, and improve navigation. You can turn off cookies in your browser settings, though some features of the site may not work.

Data Security

URC uses reasonable physical, technical, and administrative safeguards to protect your information. Our website and payment pages use HTTPS encryption, and card payments are handled by Stripe, which is certified to the Payment Card Industry Data Security Standard (PCI DSS). No system is 100% secure, so we cannot guarantee absolute security.

Data Retention

We keep your information only as long as needed for the purposes in this policy, to meet legal and insurance requirements, and to keep accurate membership and safety records.

Your Choices

• You can unsubscribe from non-essential emails or texts at any time using the link or instructions in the message, or by contacting us.
• Safety notices, membership confirmations, receipts, and legal notices may still be sent while you are a member.
• You can ask us to see or correct the information we hold about you by contacting us (section 14).

Children’s Information

Our website is not directed to children. We do not knowingly collect personal information directly from anyone under 18. Junior members’ names and dates of birth are given to us by the Senior or Associate member on the account. We use them only to manage that membership. If we learn that a child gave us personal information directly, we will delete it.

Links and Public Channels

Our website may link to other websites, such as our social media pages. URC is not responsible for their privacy practices. Anything you post in public channels, such as social media or online groups connected to URC, may be seen and used by others.

Website Integrity

URC takes website security seriously and does not knowingly allow malware, spyware, or viruses on its site.

Changes to This Policy

URC may update this Privacy Policy from time to time. Updates will be posted on this page with a new effective date. Continued membership or use of our services after a change means you accept the updated policy.
